Hi, Gang.

About a dozen of us met today to work on our approach to next week's Cities Rising activity.

ChatAction will be hosting the after chat each day next week.

Another message with access details will be sent to the Chat People list.

Chat Action Meeting “ 04 January 2021 for cities week

Stan will be main host/ assisted by Natalie:

Stans will assign the following people as co-hosts :

1.   Subject Moderators and theme facilitators

·       Lesley, Hilary, Marylyn, Beth

2.   Breakout room recorders/ chat moderators/ breakout room managers

·       Karen. Liliane, Julie, Kathryn

	Break out room Co host Moderatos / facilitators	Breakout room Co host and chat moderators	Main room Question of the Day will be posted by	Main Room Floater and admin

3.   Sequence of Events and Tasks :

o   Stan will set up the break out rooms by name as finalized with Lesley/

o   Stan will assign the 8 people as co hosts in zoom

o   Lesley will introduce and convene the session .

o   15-20 minutes to be give to share thoughts and questions with the presenters from the main room.

o   Lesley will introduce the concepts of the activities for each breakout room and assign the Breakout room co-host/ moderators/ recorders to each room,

o   Lesley will call out the Question Of The Day that will be discussed in the Break out rooms,

o   Lillian will post the Question Of The Day in the Chat,

o   Break out room chat moderators will copy the question onto their computers/ in word or notepad and keep it handy to post in the chat of their respective breakout rooms.

o   Stan will activate the break out rooms.

o   Each break out room will be for 20 Minutes

o   Everyone reconvenes in the Main room and 15 minutes of sharing and harvesting

o   Lesley calls the session to a close and every one leaves the meeting immediately.

o   Stan closes meeting after every one has left ( this will ensure no recording is lost midway)

o   Break out room moderators/ recorders allow files to convert on their computers. ( this takes about 10 Minutes)

o   Please rename the file with this following Name “ January 11 cities week (Break out room name)” Note date will change every day and if you are assigned to a different room on that day then that too will change when you name the file.

o   All files are be transferred to stan@communitymagic.org via WETRANSFER the same day.

o   Chat action will meet for follow up and debriefing one hour after the afterchat meeting has ended.

4.   A guideline document for hosts and participants will be prepared and circulated to all to make the entire experience enjoyable and hassle free.
